Estimate Templates

You can create an Estimate Template to define a structured (hierarchical) list of templates for the items in your job estimates. When editing a job, it is possible to choose an Estimate Template, select some Estimate Item Templates and add them to the current estimate. That will pre-populate the Code, Name, Resource Type, Unit and Rate for the new lines. Alternatively, you can pick individual Estimate Item Templates from a drop-down list when editing an estimate. In the future, if the Item Templates are modified, you can update the estimates that use them to reflect the changes.

Estimate Templates Screen

  1. To open the Estimate Templates screen, click 'Estimate Templates' on the main screen of the Lookups Module.

  2. The following window will be displayed.

Create a New Estimate Template

  1. To create a new Estimate Template, click the 'New' button in the 'Template' group.

  2. Enter a name for the template and click 'Save'.

  3. The new template will be loaded into the window.

Edit Items

  1. To add a new item, start entering it in the last blank row.

  2. To edit an item in a form or to create a composite Item Template that is calculated based on other items, click the '...' cell:

    Edit the item and click OK to update the item. Please note that at this point the changes exist only on your computer, and they will be saved to the system when the whole Estimate Template is saved.

  3. A composite Item Template combines a number of simple Item Templates. To add a composite Item Template, enter a code, name, type and unit in the table, and then click '...'. In the dialogue that will pop up, tick 'Composite'.

    In the 'Items' table, select the Item templates that constitute the composite template and enter their quantities. To arrive on the composite rate value, the total for the line items is divided by the value entered in the 'Divide total price by' field. This value represents the quantity of the resource being priced per which the constituting item quantities are provided and is expressed in the composite Item Template measurement units. For instance, in the above screenshot the line item quantities are per 10 square metres of the turf area.

    To make sure that the calculated composite rate is rounded to cents, tick 'Round to 2 decimal places'.

  4. To insert a new item above the current line, click the 'Item' toolbar button in the 'Insert' group.

  5. To insert a new heading above the current line, click the 'Heading' toolbar button in the 'Insert' group.

  6. To indent or outdent items or headings, select them and click the Indent or Outdent button in the toolbar.

  7. To delete one or more lines, tick them and then click 'Delete'.

  8. To move or copy one or more items, tick them, focus a cell in the row in front of which the items must be inserted and then click 'Move' or 'Clone'.

  9. To automatically generate codes for new items and headings, click 'Auto' in the 'Codes' group in the Ribbon.

    Enable auto codes

    The system tries to find a pattern by analysing existing codes. If it cannot work it out, it uses the default code format:

    The codes on each level can be numbers or letters with any separators or without them, for example:

    1, 1A, 1A-a, 1A-b, 1B, 1B-a, 1B-b, 2, 2A, 2A-a, ...

  10. To re-generate codes for selected items and headings, click 'Regenerate' in the 'Codes' group in the Ribbon.

    Enable auto codes

    The system tries to find a pattern by analysing existing codes. If it cannot work it out, it uses the default code format with numbers and '.' as a level separator (see above).

  11. To save the changes, click 'Save'.

Rename a Template

To rename an Estimate Template, select it from the drop-down and click 'Properties'.

Load a Template

To open a template, select it from the drop-down box.

Clone a Template

To create a copy of a template, select it from the drop-down box and click 'Clone'.

Enter a name for the new template and click 'Create'.

Delete a Template

To delete a template, select it from the drop-down box and click 'Discard'. This will delete all the Item Templates as well.
